Admissions System

The Jenzabar PX Admissions System is a comprehensive marketing tool that supports traditional record keeping as well as the sophisticated and creative efforts required of competitive institutions. The system tracks both inquiries and applications originating from a variety of sources and utilizes service bureau data available on tape from services like Educational Testing Service and Admissions Testing Program. Coded fields are validated during data entry and updated to increase accuracy. Timely follow-up letters and reports are generated automatically at user-specified intervals with optional labels, envelopes, and reports to complement each letter type. Standard output includes letters reminding applicants to send specific documents and information required to complete the admissions process and personalized letters of acceptance or rejection.

Financial Aid System

The Jenzabar PX Financial Aid System provides the user the ability to process financial aid applicants and generate associated reports while conforming to NASFAA guidelines. Financial Aid is entered on a fund-by-fund basis or formula packaging can be implemented. Awards are entered, accepted, and transmitted during the registration process if the necessary information is available. The student can accept or reject individual portions of the award package. Aid can be cancelled or adjusted at any time.

Student information may be accessed from both the Jenzabar PX Admissions and Registration Systems. College work-study earnings data is available through the Jenzabar PX Payroll System. Aid can be transmitted for posting to student accounts through the Jenzabar PX Student Billing/Receivables System. NASFAA format transcript information is maintained and may be printed at any time.


Degree Audit/Academic Advisement

The Jenzabar PX Degree Audit/Academic Advisement System uses data from several sources including current student schedules and historical course information from the Registration/Academic History module to evaluate a student’s progress toward a degree. Using a computerized course catalog, the system produces a degree audit transcript reflecting the student’s current status of each of the degree requirements. An advisor, with the student present, may use the system to interactively evaluate possible degree requirements and to plan a schedule of classes to fulfill them.

Multiple catalog years may be defined using DARel (the Degree Audit Requirements Language) a non-procedural English-like language based on knowledge-based technology. The system will accommodate CLEP, transfer credits, life experience provisions, as well as individualized programs of study. The Jenzabar PX Registration and Academic History System is fully integrated with Degree/Academic Advisement and must be installed prior to use of that module.


Registration/Academic History

The Jenzabar PX Student Registration System includes on-line enrollment, registration, class rosters, student schedules, grade reports or report cards, drop/add procedures, and pre-registration for multiple terms or semesters. This system allows the user to input, update, and maintain student and curriculum data. Student identifiers are institutionally determined, rather than dictated by the software. Enrollment limits may be set for each class by entering a student on a waiting list for classes and/or placing that student into a user defined number of reserved sets. Notifications of time conflicts and closed classes are displayed on the user desktop device with overrides allowed for each. The system handles audit and variable course credits and late registration. Closed class lists and other registration management reports are available on demand. The system provides pre-requisite and co-requisite checking, notification of academic and financial holds, open entry/open exit courses, reserved seats, wait-listing, and alternatives to closed classes on request.

The Jenzabar PX Academic History System provides on-line access to and maintenance of student academic history records. Historical data is accessed from the Jenzabar PX Registration System at the end of each grading period. Calculation of grade point averages is set up according to institutional specifications. Repeated courses are flagged and may be excluded from GPA calculations. Multi-page transcripts may be printed selectively or en masse on plain continuous-form paper or on approved preprinted forms.


Student Billing/Receivables

The Jenzabar PX Student Billing/Receivables System is used to generate bills for tuition, class or lab fees, and other student charges. Billing is handled individually or en masse through statements sent each month (to separate billing addresses if desired) as well as through pop-up bills generated during registration. Plain 8½" x 11" continuous forms may be used to print the billing statements with the mailing address properly aligned for use in a window envelope. Billing statements contain transaction details such as tuition fees, miscellaneous fees, student charges, financial aid awards, room and board, other debits or credits, and previous balances. Tuition expenses are computed from the enrollment data in the Registration System. Charges are defined by the institution and accommodate separate rates for in-state and out-of-state students, flat rate tuition, variable tuition charges based on credit honors, standard and special fees, and room and board. Scholarships, grants, and other credits accessed from the Jenzabar PX. Financial Aid System are also processed. Preregistration estimated billings may be printed and retained until the actual billing cycle. The actual period for retaining transactions is up to the institution.

The Student Billing/Receivables System interfaces with the Jenzabar PX Fiscal Reporting System, the Registration/Academic History System, and Jenzabar PX Financial Aid System.

Tele-Registration

The Jenzabar PX Tele-Registration System enables students to register for classes, listen to their schedules, add or drop classes, and hear their current balance any time of the day—all simply by using a standard touch-tone telephone. Tele-Registration software integrates "FirstLine," an Interactive Voice Response Unit (IVR) system from Computer Communications Specialist, Inc. (CSS), with the Registration/Academic History System. Tele-Registration provides service 24 hours a day, seven days a week and eliminates the need for temporary staffing and overtime to handle peak registration periods. This means more convenient access and increased services to students.
